Your role
We are seeking a motivated and detail-oriented Administrative Assistant/Office Manager to play a vital role in maintaining the smooth operation of our dynamic and forward-thinking work environment. Collaborating closely with the management team, the Administrative Assistant/Office Manager will be instrumental in providing comprehensive administrative support for Cellbricks.
Your responsibilities
  • Administrative support and management of facilities: Execute diverse administrative responsibilities to assist the management team and guarantee streamlined office operations. Take charge of facilities management, which involves ordering necessary office supplies, overseeing inventory, and maintaining office equipment.
  • Accounting and bookkeeping support: Manage both incoming and outgoing invoices, ensuring they are promptly uploaded for our external accountant. Oversee various accounting and bookkeeping activities, serving as the primary point of contact for our external accounting team. Additionally, contribute to the preparation of expense reports, particularly for research and other projects.
  • Meeting & event coordination: Facilitate the coordination and scheduling of both internal and external meetings, appointments, as well as travel arrangements or reservations. Organize virtual and in-person meetings, managing the setup and takedown processes. Take charge of coordinating and facilitating both business and social events aimed at promoting the company. Contribute to the coordination of various team social events.
  • Document management: Draft, review, and amend standard templates, letters, reports, PowerPoint presentations, Word documents, Excel workbooks, and other related correspondence materials.
  • Reception duties: Fulfill reception responsibilities, encompassing the coordination of incoming calls and the reception of courier packages.
  • Miscellaneous tasks: Handle a diverse array of responsibilities, from assisting with general IT-related requests and orienting new team members to contributing innovative ideas for process improvement. Ensure the timely completion of tasks and projects, operating independently with a high degree of autonomy to meet established goals. Additionally, be prepared to tackle various miscellaneous tasks assigned from time to time.
Your profile
  • Educational background or administrative experience: Related diploma or 3-5 years of directly related administrative experience in a similar environment or the equivalent combination of education and experience.
  • Technical proficiency with Microsoft Office Suite: Showcase strong technical skills, especially proficiency in the Microsoft Office Suite, to enhance operational efficiency.
  • Versatility in accounting or hotel industry exposure: Experience in accounting and/or in hotel industry is a significant plus, bringing valuable skills in financial processes and customer interactions.
